How to Integrate AOT and Zoom for Online Classes and Meetings via Video Conferencing

With AOT’s Zoom Video Conferencing integration for online classes and appointments, your online location will automatically create video conferencing details and save them to your AOT calendar. As a result, you are providing your customers instant access to your online location, saving you time and helping reduce no-shows.

How it Works
Integrating Zoom will create a meeting in your Zoom account and your AOT appointment or class. Upon booking confirmation, your client will see the Zoom URL on the confirmation page and through their booking confirmation email.
Let’s dive into the step-by-step guide to integrating AOT with Zoom.
A. Set-up Online Location
From your AOT Tenant account, and add or edit Location. Select “Online” as your location type.

B. Zoom Integration
AOT connector for Zoom seamlessly integrates with your booking activities through all phases of your online scheduling.
1. Log in to your Zoom account or sign-up and activate your Zoom account. For more information, please follow this link.
2. Once connected, log in to your AOT.plus account, go to Integrations in your sidebar > Zoom and click Connect.
3. You will be redirected to Zoom to authorize the connection with your AOT account. Click the Allow button to access your Zoom account (this is only for creating and accessing Zoom meetings and your profile details).

4. After successfully connecting your Zoom account, bookings on the “Online” location will generate a unique one-time Zoom meeting link for each booking.

Important Notes:
- When customers book an online appointment or class, they’ll receive instant access to the Zoom meeting details via the AOT calendar or booking confirmation email. Tenants can also access videocall details from their Zoom account.
- ALL of the virtual meetings will be tied to the Zoom account of whoever created it.
C. Access your Zoom Meeting Link
When someone books an appointment in one of your locations and services, you and your invitees will receive Zoom conferencing details via email and calendar event. In addition, you can access the Zoom link in a variety of ways.
Booking Tab: Upon opening an Upcoming Event on your Booking Page, select your “Online” location. Log in with your email and password, go to your ‘My Booking’ section, and check all your bookings to access the unique Zoom link and dial-in details.
You may also use your Zoom Personal Meeting ID for online events. You can offer your customers a dial-in number in addition to the web conferencing link for each event. In addition, you can select multiple countries for international numbers. A link will be displayed in the customer email booking confirmation leading to dial-in options.
Calendar Tab: The Zoom link is added upon opening an Upcoming Event. Open the Zoom link, paste it into your URL, and start the class.

Pro-tip: Your customers won’t see Zoom details on your online locations/services until they’ve booked an appointment with you. You may want to include a note in your event descriptions/instructions that class or booking will be held online, and they will receive details after booking.
D. How to Disconnect Zoom on your Tenant Account
From your AOT Tenant account, go back to Integrations in your sidebar, go to Zoom and click Disconnect. You will be redirected to your Zoom account “Added” Application section; remove ‘Always on Time’ on your added apps. Zoom will now be automatically removed from your AOT account, and bookings will no longer automatically create a Zoom meeting.
